Client Representative - Front Desk: The Client Representative will act as the front-desk agent for the West Valley Behavioral Health Center in West Phoenix, providing clerical and intake support necessary for the effective provision of services to clients.

Responsibilities

  • Inquires about the client’s health and wellness needs and assist in coordinating those primary care or other supportive services with appropriate JFCS staff or external parties to ensure the client’s whole health is addressed.
  • Communicate with JFCS staff as necessary to ensure coordination and follow-through for clients in need of primary care services.
  • Schedules client appointments, verifies insurance eligibility when circumstances require, and obtains required authorizations.
  • Obtains initial client inquiry information and processes according to office procedures and contract requirements.
  • Establishes good working relationships with all referral sources and case managers, while assisting clinical staff when appropriate in obtaining interpreter services.
  • Scans and imports all related case material in a timely manner and according to agency procedures.
  • Inputs client information and clinical record from referrals into computer billing system for all client accounts in line with agency procedure.
  • Updates computer client file with changes in address, phone number, fee, or any other pertinent information.
  • Learns and implements requirements of the State AHCCCS programs and other Health Plan contracts for input in the computer system. Assists clinical staff in processing appropriate paperwork.
  • Closes the client chart when appropriate.
  • Monitors services provided to clients through the computer and inputs appointment data for appointment scheduling.
  • Communicates funding-source changes to the Operations Coordinator promptly.
  • Answers and coordinates all incoming calls to ensure that calls and clients are taken care of in an effective manner.
  • Creates and maintains client electronic charts.
  • Schedules initial assessment if guardian accepts services.

Qualifications

  • Verifiable High school diploma or equivalent accredited GED
  • Previous work experience in a position requiring significant public contact, preferably in a medical office, computer use, office organization skills, and ability to type 45 wpm.
  • Bilingual Spanish-English preferred
  • Exceptional attendance is mandatory in this position, as continuous front desk and phone coverage is critical to daily operations.
