Overview

The Operations Coordinator will coordinate operations for the Adult SMI Program for JFCS' East Valley Healthcare Center & MRZ Healthcare Centers.

 

This will include all computer functions, such as gathering client insurance information, verification of coverage, auditing setup of new client accounts in the computer system, coordinating the intake process, assisting in the optimal use of the computer system for billing and financial reporting purposes, while also assisting the Director to sustain optimal functioning of the office.

Responsibilities

  • Data System Coordination: Coordinates and supervises the gathering of client insurance information and eligibility verification for intakes and daily appointments. Coordinates case transfers to other sites within the agency, as well as those to other agencies/networks. Maintains EHR Scheduling Templates.
  • Reports to Management: Researches and tracks all reports sent to Operations, including, but not limited to, Kept Appointments, PCP No Information, PCP Failed Faxes and Outreach Screening. Monitors Enrollments and Assessments for completeness to ensure timely submission to funding source. Ensures that PHI log is completed appropriately and input data into the log and chart.
  • Intake: Coordinates the intake process, ensuring that intakes are processed according to the various contract requirements and Operations policy.
  • Support of Case Management Program: Sends and receives referrals, coordinates with Case Managers when referring for outside services, ensures that documents and paper signatures are scanned into the chart in a timely manner, tracks supervision logs, and assists staff when there are errors in checking in clients.
  • Other Responsibilities: Assists in the optimal use of the computer system for billing and reporting purposes. Facilities oversight to include, but not limited to, purchasing/supplies, maintaining phone lists and new hire tracking. Liaison to Clinical Directors, Clinical Team and Operations Manager.

Qualifications

  • High School diploma or equivalent, plus additional courses in computer science or records management. Bachelor’s degree in business, management or computer science is a plus and could replace the required experience.
  • One or more years of computerized medical office experience.
  • Bilingual in Spanish/English highly preferred
  • Previous work experience in a position requiring significant public contact, preferably in a medical office.
  • Excellent office organization skills.

  • Excellent customer service skills.
  • Attention to detail.
  • Experience in effectively handling multiple projects requiring exceptional organizational skills.
  • Ability to handle stressful situations.
  • Prior Behavioral Health experience preferred.
  • Good supervisory skills and computer experience with NextGen and Microsoft Office preferred.
  • Ability to obtain an Arizona DPS Level 1 Fingerprint Clearance Card without restriction(s)
